Getting Started
Step 1: Accessing the Email Client
When you receive an email from a guest, copy and paste the specific part of the email that contains their question or inquiry into ZooBot.
For the best results, try include at least the everything from the subject to their sign off. You can also copy the entire email, but note if the email is very big the AI may not be able to process it all.
To copy the whole email with keyboard shortcuts, click on the textbox in 8x8 and press CTRL
+ A
, then CTRL
+ C
(or just select all the text and right click copy
)
Step 2: Using the ZooBot Interface
Once you have copied the relevant text from the email, navigate to the ZooBot interface. Here’s a breakdown of the interface components:
- Text Area for Query:
- This is where you will paste the guest's question. For a better response, be sure to add any context or manually type in any additional information that might help the AI provide a more accurate response. There's also a "paste from clipboard" button above it (it looks like 📋) that you can use to instantly paste what you copied from 8x8
- Name Field:
- Enter your name here. This helps personalize the interaction and allows the AI to address you correctly in its responses.
- Instructions Field:
- This optional field allows you to provide any specific instructions or context for the AI. For example, if there are particular points you want the AI to emphasize in its response, include them here.
- Response Display Area:
- Once ZooBot has processed your query, the AI's response will appear here. Review the response to ensure it meets your needs before sending it to the guest.
- Copy to Clipboard Button:
- After reviewing the response, you can click this button to copy the AI's reply to your clipboard, making it easy to paste into 8x8.
You may notice there is also a cooldown. This is because large language models are very resource intensive and costly, so you may have to wait a few seconds before submitting another request (however this is only a few seconds).
Tips for Best Results
- Be Specific: The more specific you are with the guest's question, the better the AI can tailor its response.
- Use Context: If the inquiry relates to a specific event or policy, include that context in the instructions field.
- Review Responses: Always review the AI's response before sending it to ensure it aligns with Chester Zoo's policies and tone.
